Scope

This policy applies to students who have successfully completed at least one semester of medical school and are requesting to transfer between IUSM campuses. This policy does not apply to students prior to matriculation. See “Related Information” for IUSM Office of Admissions’ campus selection process.


Policy Statement

Each IUSM medical student is assigned to one of the nine IUSM campuses at the time of admission. After matriculation and after a student has completed at least one semester or course work, a student may request to transfer campuses. All requests to transfer are handled by the Campus Transfer Committee. The committee will carefully consider such requests when a student can demonstrate that the transfer will support his/her academic progress and when the campus of choice can accommodate the request.


Reason for Policy

This policy establishes an equitable process for students to apply for transfer between IUSM campuses.

Procedures

An ad hoc Campus Transfer Committee consists of medical students, faculty members and student affairs deans from the Office of Medical Student Education as appointed by the senior associate dean for medical student education. Students wishing to transfer between Phase I and Phase II of the curriculum do not need to apply for campus transfer.

Students who complete Phase I at a regional campus that has a fully implemented clinical clerkship program will be given first priority to complete their entire third year (Phase II) at that site. All students, regardless of campus, who elect to complete their third year in Indianapolis may be required to take some clerkships at one of the other eight regional medical center campuses during either Phase II or Phase III.

Students who have successfully completed at least one semester may request a transfer for the start of either the spring semester or fall semester.

  1. Students requesting a transfer pursuant to this policy must complete a campus transfer application and send it to the assistant dean for academic records and promotion.
  2. An application for campus transfer may be submitted for either the fall or spring semester. To request a transfer for the spring semester, an application must be submitted by Oct. 1 of the prior semester. To request a transfer for the fall semester, the application must be submitted by June 15 of the prior semester.
  3. The assistant dean for academic records and promotion reviews the application to determine whether the student is qualified for transfer and, if so, the student’s name is redacted from the application before submission to the Campus Transfer Committee. The committee reviews the request and votes on whether to approve or deny the request.
  4. The student will receive a response within 30 days. This period may be lengthened in cases in which the assistant dean for academic records and promotion determines that additional information is needed for the committee to render a fair decision. In such cases, the assistant dean and the committee, upon receiving the additional information, will act promptly to render a decision.
  5. If an application to transfer is denied, the student may appeal the decision to the senior associate dean for medical student education via email. The senior associate dean’s decision is final.

Sanctions

Failure to comply could affect a student’s enrollment status.
