How to Check Your Roster in ExamSoft

We recommend checking that your roster is complete at the beginning of the year or semester, before the first exam. You can do this by following the steps below. If you see a student who should not be in your course in ExamSoft or notice that a student is missing from your course, please contact Erich Bauer, ejbauer@iu.edu to modify the roster.

Note: Not everyone who can access ExamSoft can see a list of students on the Exam Takers tab. Only "course owners" can see a list of students on this tab, and only one person per course can be designated as the course owner in ExamSoft. The ExamSoft course owner is generally the course director, but, in some cases, the course owner may be a staff member who manages ExamSoft exams for faculty members. Contact Erich Bauer if you have a question about who is the course owner in ExamSoft for your course. If you are not the course owner in ExamSoft, you can still see a list of students in your course; please see the "If you are not the course owner" section below for instructions.

If you are the course owner:

  1. In the ExamSoft portal (examsoft.com/iusm), click the Exam Takers tab. If you are the course owner, a list of your students will load. If you are not the course owner, you will receive an error message. See the note above about course owners.

If you are the course owner for more than one course, it may be helpful to filter by course in order to see only the students in one course at a time. To do this:

  1. Click the Advanced Search button at the top right of the list of students.
  2. In the Advanced Search area that appears, click the Course ("All Courses") drop-down menu and choose the course.

  3. Click the blue Search button.
  4. To return to seeing all students, repeat the steps above, but choose "All Courses" from the Course drop-down menu.

If you are not the course owner:

If you are not the course owner, you can still see a list of students in your course. This is done in a different section of ExamSoft (the Exam Taker Activity tab), and the list of students will be available as soon as you post an exam to a course. Both course owners and non-course owners can see a list of students on the Exam Taker Activity tab by following these instructions:

  1. Click the Assessments tab.
  2. Make sure that you have at least one posted assessment for the course. (To learn about how to post an assessment that you have created, visit this quick reference guide from ExamSoft: https://customered.s3.amazonaws.com/QRGs/Assessments/Q_ASM104_PostingAnAssessment.pdf.)
  3. Click the name of a posted assessment to open it.
  4. Click the Exam Taker Activity sub-tab.

  5. Click the Advanced Search button at the top right of the list of students.
  6. In the Advanced Search area that appears, change all of the drop-down menus to "All."
  7. Click the blue Search button. A list of all students in the course appears.
  8. Keep in mind that this list will include both active and inactive students. (Students are often inactivated when they go on a leave of absence; inactive students will not be able to access SofTest or your exams.) To see which students are inactive, look in the Status column. (If you do not have the Status column, click the cogwheel icon in the upper right and select the name of the column from the drop-down menu that appears.) The list of students also will include both those who have downloaded and those who have not downloaded the posted assessment. To see which students have downloaded the assessment, look in the DL column. (If you do not have the DL column, click the cogwheel icon in the upper right and select the name of the column from the drop-down menu that appears.)
